AI Scribe

AI Scribe listens to a visit and auto‑drafts your clinical note, so you finish charting in seconds instead of after hours.

Turn it on​

  • Enable Scribe in Settings → Atlas AI (or Client Apps → AI features).
  • Grant microphone permission on the device you'll use for visits.

Where you can use it​

  • In‑person visits / notes — start Scribe from the appointment or the note editor; it captures the conversation and drafts the note for your review and edit.
  • Telehealth — Scribe runs alongside a Zoom or Google Meet virtual visit.

Video visits: the notetaker joins the call​

For an appointment with a video link, the scribe takes the form of a notetaker, a participant that joins the call under the name you set, records it, and writes the note when the call ends. There are two ways it gets there.

  1. Turn on Join video visits automatically in Settings → Atlas AI. From then on the notetaker joins every appointment that has a video link, at the appointment's start time. If the appointment is rescheduled the notetaker moves with it, and if it is cancelled the notetaker is removed.
  2. Or leave that off and start it yourself: open the appointment, and next to AI Scribe click Join now. The notetaker joins that call only.

On Google Meet the host has to admit the notetaker, the same as any other participant. If nobody admits it, nothing is recorded.

Tell the client the visit is being recorded

The notetaker is visible in the participant list under its name, but a visible participant is not consent. Tell the client at the start of the visit that it is being recorded to write the note, and follow the recording-consent rules that apply where you and your client are.

Choose the note the scribe writes​

A recorded visit is most useful when the note comes out in the format you actually chart in. The scribe fills a note template, your own set of fields such as chief complaint, assessment and plan, in place of a generic note. Each field comes back in the form the note editor uses: choices are ticked from the template's own options, body-map regions and spinal levels are marked, and diagnoses are entered as ICD-10 codes. Anything the visit didn't cover is left blank for you. You decide which template in three places, and the most specific wins.

  1. On the appointment. Open the appointment and pick one under Note template for this visit. That choice applies to this visit only.
  2. By service. A note template can be linked to the services it is meant for. A recorded visit for one of those services fills that template with no further setup.
  3. Default note template. In Settings → Atlas AI, the AI Scribe card's Default note template is used when neither of the above applies.

If none of these is set, the scribe writes a SOAP note. The template is fixed when the notetaker is scheduled, so changing your settings later does not change a visit that is already set up; change it on the appointment instead. For an in-person recording you pick the format in the Record Visit window.

How it works​

  1. Start Scribe at the beginning of the visit.
  2. It transcribes (PHI‑aware) and structures a draft note.
  3. You review, edit, and sign — nothing is filed without your approval.
